The Part Admin Staff is responsible for providing administrative and clerical support to the Parts Department, ensuring accurate documentation, efficient coordination, and smooth day-to-day operations. This role involves managing records, assisting in parts inventory monitoring, and maintaining communication with suppliers and other departments. The position requires attention to detail, analytical ability, and effective communication skills to uphold Toyota’s standards in customer service and operational excellence.
Key Responsibilities:
- Administrative Support:
- Prepare and organize documentation related to parts orders, deliveries, and inventory.
- Maintain accurate filing systems for parts transactions and correspondence.
- Assist in monitoring purchase orders, invoices, and other related records.
- Inventory Coordination:
- Support the Parts Department in inventory tracking and stock level management.
- Ensure accuracy in data encoding for incoming and outgoing parts.
- Coordinate with warehouse personnel for stock availability and replenishment.
- Communication and Coordination:
- Maintain effective communication with suppliers, customers, and internal departments regarding parts inquiries and transactions.
- Relay important updates and information between the Parts Department and other divisions.
- Address administrative concerns promptly and efficiently.
- Reporting and Documentation:
- Generate periodic reports related to inventory, parts movement, and administrative performance.
- Ensure that all documentation complies with Toyota’s standards and procedures.
- Assist in audits and other administrative reviews when required.
- Operational Assistance:
- Provide support to the Parts Manager and staff during high-volume periods.
- Help ensure that the Parts Department operates smoothly and efficiently through proactive task management.
- Uphold professionalism and customer service at all times.
